Administrative Assistant

The Administrative Assistant is responsible for providing efficient and effective administrative support to the General Manager of Fantasyland Hotel.
PRIMARY RESPONSIBILITIES:
• Coordinating meetings, appointments and schedules for the General Manager, taking required minutes for specified meetings, and responding to specific hotel related inquiries and requests for the departments.
• Preparing, coordinating, and recording a variety of Hotel correspondence and documentation while ensuring all timelines are met and adhered to in the department.
• Prioritizing workloads, screening and forwarding emails and phone calls, and performing research when needed.
• Performing various administrative duties including photocopying, faxing, scanning, and maintaining confidential records and files.
• Scheduling and planning staff events such as holiday parties and employee appreciation events.
• Monitoring reviews and donation requests and responding accordingly.
• Liaising with other departments in West Edmonton Mall and West Edmonton Mall Inn on a regular basis.
• Other responsibilities as required.
DESIRED QUALIFICATIONS:
• One (1) to three (3) years-experience working in an administrative hotel support role.
• Completion of a related post-secondary diploma focusing on office administration, business administration or hospitality.
• An extremely professional attitude and demeanor complemented by excellent client relations skills and the ability to establish strong working relationships.
• Strong organizational and time-management skills and the ability to work in a fast-paced, ever changing environment.
• Excellent typing and computer skills including a strong working knowledge of MS Office programs Word, Excel, Powerpoint and Outlook as well the ability to adapt to other software programs as required.
TERMS OF EMPLOYMENT:
• This is a full-time position required Monday through Friday 8:30am – 5pm.
• This position qualifies for West Edmonton Mall’s 4-Day Work Week Program upon successful completion of a probationary period.
• This is a salaried position and will depend on experience and qualifications.
• Must be able to pass a basic security clearance.
