Job Title: District Athletic Coordinator (Grades 6-12)
Reports to: Athletic Director

Summary: The Athletic Coordinator supports the Athletic Director in overseeing the District's athletic programs by coordinating events, schedules, compliance, communications, and daily operations while fostering positive relationships with students, staff, families, and the community. This position requires a flexible schedule, including evenings and weekends, to support athletic events and District activities.

Qualifications:

  • High School diploma/equivalent
  • CPR/AED certified
  • First aid certified
  • IHSA Training Requirements including Concussion and Hate Speech & Harassment Policies
  • Strong communication skills with the ability to effectively interact with students, families, staff, and community members across multiple platforms, including in-person, phone, email, and digital communication tools.
  • Ability to represent the District in a positive and professional manner at events and meetings
  • Prior experience in an athletic program or school setting is preferred.
  • Strong organizational skills with attention to detail in scheduling, logistics, and coordination
  • Ability to manage complex schedules, transportation, and event planning
  • Computer/Technology and Business Machines experience
  • Possess good typing/word processing skills
  • Respect confidentiality
  • Ability to establish and maintain effective working relationships with all staff and the public
  • Willing to learn new duties and technology skills as required
  • Self-directed and self-motivated in job related tasks
  • Take the initiative to provide prompt, courteous service when information or assistance is requested
  • Knowledge of interscholastic athletics (IHSA/IESA rules and procedures preferred)
  • Understanding of athletic program operations, scheduling, and event management
  • Familiarity with eligibility requirements and student-athlete expectations

Performance Responsibilities:

  • Position requires a flexible work schedule, including regular attendance at evening and weekend athletic events, meetings, and other District activities as assigned.
  • Serves as a key support to the Athletic Director in the overall management of the athletic program
  • Handles all communication in an efficient, professional, and courteous manner
  • Demonstrate a positive and friendly attitude that projects a positive image of the district, staff, and students
  • Protects the confidentiality of district and athletic records and information
  • Promotes a positive relationship with coaches, staff and community
  • Coordinates game day operations including supervision, security, and event setup
  • Help booster club coordination with athletic events
  • Works with the Athletic Director and school administrators/staff in scheduling agreements for athletic facilities (practices, contests, rentals)
  • Runs and coordinates with coaches the weekly academic eligibility report
  • Responsible for maintaining up to date athletic physicals/participation
  • Work with the Athletic Director to maintain athletic activities as directed: organize officials; prepare tournaments, awards & plaques
  • Organize officials for games/tournaments
  • Organize coordination of games/tournaments
  • Scheduling transportation
  • Work with coaches in obtaining awards & plaques
  • Attend athletic conference meetings (as an alternate if needed)
  • Assist with the preparation and execution of coaches meetings
  • Inform officials, coaches, and transportation and necessary administrators upon cancellation of an event and rescheduled dates as soon as available.
  • Assist athletic director in maintaining the athletic website and social media
  • Compile practice schedules including summer camp schedules, and prepare correspondence for coaches (schedules, school directions, code of conduct).
  • Assists in managing athletic budgets, expenditures, and purchasing processes
  • Tracks and reconciles athletic-related accounts and event revenues
  • Works with AD on financial planning for programs and events
  • Publications to Northwest Herald or other media.
  • Supports compliance with IHSA/IESA rules and reporting requirements
  • Ensures compliance with IHSA/IESA regulations, district policies, and state laws
  • Oversees safety protocols, including concussion protocols and emergency procedures
  • Assists in incident reporting and documentation
  • Reinforces expectations related to supervision, conduct, and communication
  • Assists in monitoring coach compliance with district and athletic policies
  • Coordinates communication with families regarding schedules, expectations, and updates
  • Supports promotion of athletic programs and student achievements
  • Serves as a liaison between school, families, and community organizations
  • Completes responsibilities and other tasks as directed by the Athletic Director
