Spécialiste principal(e) des services sur site Responsabilités :

  • Trier et distribuer le courrier et les fournitures de bureau, y compris le courrier interne, les envois par messagerie et le courrier express
  • Effectuer la livraison du courrier et des projets d’impression à l’intérieur du site du client
  • Coordonner et préparer les projets d’impression, y compris la conversion de fichiers électroniques, la numérisation de documents et l’amélioration des documents, de la réception à la livraison
  • Télécharger les travaux à partir des courriels ou des files d’impression, effectuer la mise à l’échelle, la reproduction, le tri et la finition
  • Établir et maintenir des contrôles de qualité afin d’assurer l’exactitude du travail
  • Répondre aux appels téléphoniques de premier niveau des utilisateurs finaux des équipements afin de déterminer les problèmes, éliminer les bourrages papier, effectuer des copies test et évaluer l’état des machines
  • Effectuer des visites planifiées à toutes les machines pour le nettoyage des vitres, le remplacement du toner, le réapprovisionnement en papier et le maintien de la propreté générale de l’espace de travail
  • Produire et analyser des rapports
  • Tenir à jour les registres des temps d’arrêt, des réparations et des relevés de compteurs de tous les photocopieurs et imprimantes sur le site

Qualifications :

  • Diplôme d’études secondaires ou expérience professionnelle équivalente
  • Minimum de 2 ans d’expérience dans une salle de courrier ou un centre de reprographie

Compétences :

  • Excellentes aptitudes interpersonnelles et capacité à établir rapidement des relations d’affaires
  • Forte motivation personnelle axée sur l’atteinte de résultats
  • Excellentes compétences en communication, tant à l’oral qu’à l’écrit
  • Maîtrise efficace de la suite Microsoft Office
  • Capacité de soulever des charges de 30 lb et plus, au besoin

Senior Field Representative, Facilities

Ricoh is currently looking for career-oriented individual to coordinate on a daily basis with outside contractors and in-house services performing a wide variety of tasks related to the maintenance and operation of the building grounds. The Facilities Coordinator with perform a variety of duties to support the building and Division's daily operations such as office services including mail, courier, duplication and security.

RESPONSIBLILTIES

  • Schedule and assign work requests for outside contractors and in-house services, and oversee completion of assigned projects and services i.e., electrical, voice/data cabin, plumbing, waste disposal, recycling, repairs, painting, carpet cleaning etc
  • Administrative support for training on alarm system activation/ deactivation for new hires
  • Maintain a database of service vendors, contracts and invoices paid
  • Ensure janitorial services in the building meet quality standards
  • Liaise with building security company to ensure the reliability of the building alarm system
  • May be required to attend to security alarms after hours
  • Issue, activate and deactivate swipe cards as necessary
  • Report building maintenance issues i.e., plumbing, electrical to the Maintenance Department
  • Monitor the use of kitchen supplies and maintain kitchen equipment/appliances
  • Respond to a variety of Client requests: cut office/cabinet keys, hang cabinets, order beverages for meetings etc.
  • Coordination of office moves and review and change of floor plans. Work with applicable vendors to manage office moves and order of furniture
  • Coordinate small construction projects i.e., conversion of conference room to office
  • Respond to requests from the Division to order new office furniture, repairs and modifications of existing furniture. Coordinate office space reconfiguration. Maintain and inventory of used office furniture for the Division, making it available for other use
  • Design, develop and document processes and procedures specific to support Clients environment
  • Monthly SLA and metric reporting
  • Deliver agreed levels of service (as defined in customer SLA)

QUALIFICATIONS

EDUCATION & EXPERIENCE:

  • Industry related training
  • Post-secondary diploma is required
  • Minimum 2 years of experience in roles with similar responsibility, scope and skills
  • Previous service, support, technical or operational experience with customers

SKILLS:

  • Excellent interpersonal skills with the ability to quickly develop business relationships
  • Strong self-motivation to drive results
  • Excellent communication skills both verbal and written
  • Effective use of Microsoft Office
  • Ability to lift 30+lbs. as necessary
  • Valid driver's license
